Refund & Cancellation Policy

This Refund & Cancellation Policy applies to all training programmes, workshops, open-house events, and online courses offered by Quality Management Services ("QMS"). It is framed in compliance with the Consumer Protection Act, 2019, the Consumer Protection (E-Commerce) Rules, 2020, and applicable Reserve Bank of India (RBI) guidelines on payment refunds. Please read this policy carefully before enrolling.

1. How to Request a Cancellation or Refund

All cancellation and refund requests must be submitted in writing to:

Subject Line: Cancellation Request – [Your Name] – [Course Name] – [Batch Date]
Include: Registered email ID, mobile number, and Razorpay Order ID / payment reference.

The date of receipt of your written request determines the applicable refund tier in the schedule above. Verbal or phone requests do not constitute a valid cancellation.

2. Transfer / Reschedule Option

As an alternative to cancellation, you may transfer your enrolment to:

  • Another batch of the same course – free of charge if requested 5+ days before the original batch start; ₹500 administrative fee if requested 2–4 days prior.
  • Another eligible person within the same organisation – free of charge with 72 hours' notice.

3. Refund Method

  • Refunds are processed to the original payment source (credit card, debit card, UPI, net banking, bank account) via Razorpay.
  • NEFT/RTGS refunds to a bank account are available where original payment was made by bank transfer. Additional information (account number, IFSC) will be requested.
  • Refunds are initiated within 5 working days of approval. Actual credit depends on your bank's processing time (typically 5–10 additional working days).
  • GST component (18%) paid on course fees is non-refundable where training services have been partially commenced, as per GST regulations.

4. QMS-Initiated Cancellation or Reschedule

QMS reserves the right to cancel, postpone, or change the format of a batch (e.g., from classroom to online) due to insufficient enrolment, trainer unavailability, natural calamity, government orders, or force majeure events. In such cases, enrolled participants will be:

  • Offered priority enrolment in the next available batch at no additional cost; OR
  • Entitled to a full 100% refund of fees paid, processed within 5–7 working days.

QMS is not liable for any consequential losses (travel, accommodation, salary, etc.) incurred as a result of a cancelled or rescheduled batch.

5. Non-Refundable Items

  • Examination / assessment fees collected on behalf of third-party certification bodies (e.g., IINDT, DRDO-approved bodies).
  • Physical study materials and workbooks once dispatched.
  • Convenience fees charged by the payment gateway.
  • Accommodation and travel expenses for Lonavala openhouse programmes (these are arranged separately by participants).

6. Consulting & Corporate Services

For consulting retainer contracts and corporate in-house training projects, refund and cancellation terms are governed by the specific Master Service Agreement (MSA) or purchase order signed between QMS and the client organisation. In absence of a specific agreement, a pro-rated refund based on work completed will apply.

7. Grievance & Escalation

If your refund request is not resolved to your satisfaction within 15 working days, you may escalate to:

  • The District Consumer Disputes Redressal Commission, Pune under the Consumer Protection Act, 2019.
  • The RBI Ombudsman if the dispute concerns an unresolved payment through a regulated payment gateway.
